The Supervisor/Division Administration is responsible for leading and providing direction for the operating Division Warehouse, Materials Management, Auto Shop, Fleet Management, Building Maintenance, Security and functions related to Budgets and Forecasting, Accounts Payable, Property Accounting, and Contracts Administration in compliance with Company policies and procedures and regulatory requirements.

POSITION DIMENSIONS

Reporting directly to this position are up to three exempt and up to six non-exempt support staff personnel. This position is responsible for a budget up to $15M. The incumbent must be able to influence senior management, department heads and frequently exchanges information with them. The incumbent also frequently exchanges information with professional personnel from various internal departments, vendors, consultants, government officials, customers and contractors.

ESSENTIAL JOB RESPONSIBILITIES

  • Oversee the materials management, warehouse, auto shop, fleet management, building maintenance and security, budgets and forecasting, accounts payable, property accounting, and contracts administration functions and ensure related activities are completed in compliance with Company policies and procedures, and in a safe and timely manner to achieve departmental goals
  • Establish optimum Division inventory levels to ensure that supplies and materials are on hand in support of Division-wide operations, and in compliance with Company material and quality standards
  • Provide key support during the renovation, remodeling and construction of Division facilities to ensure cost-effective and timely completion within appropriate policies, procedures and regulations
  • Coordinate the development, implementation, and monitoring of the security plans and systems of Division properties
  • Oversee maintenance of Company vehicles and transportation equipment including making recommendations for annual replacements and purchases
  • Provide key support during the preparation and management of the Division budget, three-year plan and budget variance reporting
  • Coordinate the process to ensure that Division contracts with vendors, suppliers and contractors are created and executed in accordance with Company policies and procedures
  • Establish, analyze and monitor operations and financial controls and safeguards
  • Develop and implement strategic initiatives to achieve cost-savings and improved efficiencies
  • Oversee department expenditures to ensure adherence to the approved budget and explore and recommend cost-effective initiatives
  • Direct, motivate, train and evaluate staff members; directly participate in hiring process of new employees
  • Perform related duties and responsibilities as assigned
  • Regular and predictable attendance is a condition of employment and is an essential function of the job

QUALIFICATIONS

This position requires five to seven years of experience and a bachelor's degree in business management or relevant field, or a combination of education and experience sufficient to successfully perform the essential job responsibilities is required.

SALARY DETAILS

$84,585 - $122,684
