Operating Room Scheduler

Currently recruiting an Operating Room Scheduler to provide surgical scheduling support services at Naval Medical Center San Diego in San Diego, California. Services will be provided Monday through Friday, normally between 8: 00 a.M. And 4: 00 p.M., with 8-hour shifts and a 30-minute unpaid lunch break. This position supports operating room scheduling, case coordination, block time management, and communication with surgical services, anesthesia, and perioperative leadership in a military medical center environment.

DUTIES OF THE OPERATING ROOM SCHEDULER:
  • Receive surgical requests, validate submitted information, schedule surgery, and complete scheduling requests.
  • Enter data into S3 or other surgical scheduling systems accurately and without typographical, spelling, or missing-field errors.
  • Notify the OR Operations Officer or service team chief when special equipment, machines, grafts, or other special resources are requested.
  • Develop daily schedules, advanced schedules, and templates.
  • Print the next day s preliminary schedule by 8: 00 a.M. For review and approval by the OR Operations Officer.
  • Track and release OR block time 7 calendar days before the OR date.
  • Maintain accurate and complete documentation of schedule-related OR activity.
  • Track and report schedule-related activity to the element chief or OR designee.
  • Import data into Essentris or other required systems.
  • Review procedural lists and codes and confer with coders to maintain currency.
  • Update procedural lists at least quarterly.
  • Manage Main Operating Room surgical schedules, block time utilization, case coordination, and surgical scheduling system data entry.
  • Communicate with surgical services, anesthesia, and perioperative leadership to support efficient OR operations.
  • Comply with applicable military treatment facility policies, procedures, safety standards, documentation requirements, and patient privacy requirements.

QUALIFICATIONS OF THE OPERATING ROOM SCHEDULER:
  • High school diploma or General Educational Development (GED) equivalency required.
  • Basic medical terminology required.
  • Experience in medical or surgical scheduling required;operating room scheduling experience preferred.
  • Proficiency with scheduling software, including MHS GENESIS, required.
  • Proficiency with Microsoft Office applications required.
  • Strong organizational skills required.
  • Strong communication skills required.
  • Knowledge of medical terminology required.
  • Must be able to complete required health, immunization, tuberculosis, and Hepatitis B screening requirements before providing services.
  • Must be able to complete required background/security processes for access to a Navy and Defense Health Agency medical facility.
  • Must be a U.S. Citizen for access to U.S. Government networks.
  • Must comply with all applicable facility policies, procedures, training, safety, infection control, and documentation requirements.
