Position Title: Japanese Bilingual Finance Operations Manager

Location: Irvine, CA (Onsite)

Classification: Full-Time / Exempt

Summary

The Finance Manager is
responsible for owning day-to-day finance, accounting, and tax operations and
general administrative support for the U.S. subsidiary of a global
manufacturing and technology corporation. Operating within a collaborative,
small-scale office environment of approximately 10 employees, this role
requires a versatile, flexible all-rounder who is comfortable managing
high-level financial coordination alongside granular, daily bookkeeping and
office management tasks.

This professional will
function as the primary bridge between the U.S. operations and the parent
company's corporate accounting department in Japan, requiring a deep
understanding of Japanese corporate communication practices and a traditional,
highly collaborative work style. Initially focused on hands-on financial
execution using QuickBooks. Once U.S. operations are stable, the scope may
expand to support finance activities related to applicable U.K. operations.

Essential Duties and
Responsibilities include but are not limited to

Finance & Accounting
Operations



  • Manage
    day-to-day finance and accounting activities, including detailed sales
    data management, billing support, collections coordination, and accounts
    receivable oversight.
  • Perform
    hands-on daily bookkeeping, including cash receipts, disbursements, and
    journal entries within QuickBooks.
  • Support
    order processing, invoicing, and cash collection workflows, including the
    transition and operation of new finance-related systems.
  • Maintain
    highly accurate financial records in close coordination with external
    accounting firms.


Monthly Close &
Financial Reporting



  • Independently
    prepare, organize, and validate transactional data required for monthly
    and year-end closing.
  • Coordinate
    closely with external accounting firms to execute and complete the final
    monthly close process accurately.
  • Review
    draft financial statements and identify variances, trends, and potential
    risks.
  • Regularly
    provide financial results, issues, and strategic insights to corporate
    finance management in Japan, maintaining strict cross-border alignment.


Tax & Compliance



  • Coordinate
    with external tax advisors on U.S. compliance matters, including Sales Tax
    filings and business registrations.
  • Manage
    state-level Sales Tax data and ensure proper documentation and audit
    readiness.
  • Support
    ongoing operational management of transfer pricing documentation (local
    files).
  • Monitor
    regulatory changes and proactively share risks and compliance concerns
    with global stakeholders.


Budgeting, Forecasting
& Analysis



  • Conduct
    budget vs. actual analysis and explain variances.
  • Support
    annual budgeting and mid- to long-term financial planning processes.
  • Prepare
    financial materials for management review and cross-border strategic
    discussions.


Process Improvement &
Governance



  • Identify
    operational inefficiencies, control gaps, and process risks within the
    local finance and administrative structures.
  • Collaborate
    with Japan-based and U.S. leadership, as well as external partners, to
    improve workflows and operational controls.
  • Contribute
    to the design and documentation of clear company policies and procedures
    as the organization grows.


General Affairs &
Office Administration Support



  • Support
    daily general affairs (soumu) and office administrative functions
    to ensure smooth operation of the local U.S. office when necessary.
  • Manage
    office vendor relationships, equipment maintenance, and basic facility
    operations.
  • Assist
    with corporate documentation, filing, and the organization of local
    business licenses or registrations.
  • Support
    the cross-functional alignment of sales, operations, and administration
    teams through flexible administrative assistance.



Qualifications



  • Bachelor's
    degree in Accounting, Finance, Business Administration, or a related field
    is required.


  • 5 to 10
    years of professional accounting and finance experience, with a solid
    background in multinational, trading, or manufacturing business
    structures.
  • Strong,
    hands-on proficiency with QuickBooks for day-to-day accounting operations.
  • Proven
    ability to manage and drive the monthly closing data preparation
    autonomously (monthly close jissou).
  • Native-level
    fluency in Japanese (written and verbal) and professional English
    proficiency. Candidates must possess a deep understanding of Japanese
    business culture and communication standards to work smoothly with the
    Japan headquarters.
  • A
    versatile all-rounder who is highly flexible and willing to handle general
    affairs, administrative tasks, and daily data entry alongside accounting.
    Fits comfortably into a small team environment of around 10 people and
    possesses a collaborative, adaptive attitude.
  • A
    stable career history with a low frequency of job changes, reflecting a
    desire for long-term commitment and growth.
  • Advanced
    proficiency in Microsoft Excel (e.g., complex data tracking and formulas).



The base pay range listed reflects what we reasonably expect to offer for this role. Actual pay may vary based on location, experience, and performance.
