Job Title: Admin Support Clerk - II

Location(s): Lake Mary, FL

Note: Monday - Friday 8:00 am - 5:00 PM. Some weekends may be required during peak tax processing periods, IE Quarter-end Year-end.

Job Summary:

As a Tax Analyst, you will specialize in State Unemployment Insurance (SUI) and payroll tax compliance. You will be responsible for managing the integrity of payroll tax remittances, SUI rate administration, and periodic reporting. Your role involves proactive engagement with taxing agencies, executing quarterly and year-end procedures, and overseeing critical control reports to ensure accurate tax filings and mitigate tax risk exposure.

Key Responsibilities:
  • Maintain process accuracy by working with other Global Payroll Tax analysts to review and update compliance and remittances desktop procedures.
  • Manage third-party vendor inquiries by analyzing state UI agency correspondence, specifically addressing fact-finding, account closures, and rate adjustments.
  • Procure outstanding and forthcoming SUI rates from state agencies for the Jan 1 and July 1 release cycles.
  • Conduct state-level research and outreach concerning outstanding Protest Rate balances. Utilize the annual amnesty window to settle open accounts, ensuring that entities avoid potential penalty charges or UI experience rate hikes for the coming year.
  • Validate Small Groups Interunit transfers (weekly) and Strategic transfers (quarterly) within Control Reporting. Ensure employee residential and work jurisdictions maintain proper business qualifications while facilitating the submission of essential transfer documentation to appropriate state authorities.
  • Utilize reports from automated bot downloads to generate weekly PeopleSoft upload files, ensuring State Unemployment Insurance rates are refreshed based on the rate covers provided by the ADP vendor.
  • Manage SUI snapshot activities, including reviewing system discrepancies and compiling discussion points for third-party vendor meetings.
  • Manage the Joint Account and Voluntary Rate Contribution Tracker by inputting data from state agency rate letters. Evaluate and summarize prospective savings from voluntary contributions for executive review and approval.
  • Execute quarterly closing procedures, including State/Private Plan Type validation, ADP Tax Filing Profile Change reporting, and State Unemployment reconciliations.
  • Carry out year-end closing tasks, including the preparation of PeopleSoft uploads for updated state wage bases and rates corresponding to 1/1 paychecks, along with completing all other duties specified on the year-end checklist.
Required Qualifications:
  • A Bachelor degree or a minimum of four years of equivalent professional experience.
  • At least three years of relevant work experience, specifically including multistate tax and large-scale system tax environments.
  • Demonstrated ability to manage competing deadlines and prioritize critical deliverables.
  • Proven track record of working effectively both as part of a team and autonomously.
  • Strong collaboration skills for building cross-functional relationships with Payroll, Tax, and external taxing agencies.
  • Proficiency in Google Workspace (Docs, Slides) and Microsoft Office (Excel).
Preferred Qualifications:
  • Professional certification such as CPP or FPC.
  • Proficiency in leveraging emerging AI tools responsibly, with mastery of related in-demand skills like data analysis, research, and communication.
  • Expertise in analytical and quantitative reasoning alongside effective critical thinking.
  • Strong interpersonal and communication skills, with the ability to interface clearly with all levels of the organization.
  • Experience with accounting applications such as Workday, ADP, and HCM PeopleSoft.
  • Self-motivated professional capable of independent action across organizational boundaries.
