Overview

Manhattan is looking for a highly proactive, and resourceful Executive Assistant to support our Chief Marketing Officer (CMO) and the global Marketing team.

This is a high-impact opportunity for an experienced executive support professional who thrives in a fast-paced environment and brings structure, judgment, and follow-through to senior leadership operations. The right person will be more than a strong operator; they will serve as a trusted partner to the CMO, helping manage priorities, connect the dots across a global Marketing organization, and advance both strategic and operational initiatives with discretion and efficiency.

Essential Duties and Responsibilities:

  • Acts as key executive administrative support for the Chief Marketing Officer.
  • Maintains the executive's schedule, appointments, meetings and travel arrangements.
  • Maintains calendar including arrangement of the appropriate communication platforms (calls, videoconferencing, meeting room, etc.)
  • Use AI tools and automation thoughtfully to level up support, improve responsiveness, and stay highly productive
  • Schedules and manages travel arrangements, domestic and international as needed, to include country-required documentation (e.g., visas, passports).
  • Reconciles and processes monthly expenses to ensure timely and accurate reimbursement; knowledge of Concur a plus.
  • Coordinates meeting logistics both on-site and off-site (e.g., facilities, materials, audio-visual requirements, food services), including senior level interview schedules.
  • Handle sensitive information with the highest level of professionalism, discretion, and confidentiality.
  • Serve as primary point of contact and owner for certain monthly processes such as Ops review documentation, including but not limited to coordination and editing of materials, power point support, tracking down missing materials from global team members
  • Determines priority of matters requiring personal attention of the CMO and routing other material for appropriate action and/or personally responding on behalf of leaders.
  • Coordinate and arrange all management meetings, coordinate use of conference rooms and use of outside facilities.
  • Collaborates and may provide support to various staff and departments in preparing special projects.
  • Support budget-related activities, analytical projects, and preparation for leadership and operational reviews.
  • Support and sometimes own special projects relating to various Marketing Team efforts

Minimum Requirements:

  • Position requires Associate Degree in business (two-year program); Bachelor's Degree in business or liberal arts desirable.
  • 5+ years of experience in administrative/executive position
  • Must have positive proven experience working for a high-profile C-Level executive
  • Demonstrated ability to work effectively in a virtual or hybrid environment and across multiple stakeholders or geographies.
  • Comfort using AI tools and automation to improve efficiency, productivity, and overall effectiveness.
  • Strong capability in budget management, staff meeting coordination, agenda development, follow-up, and support of strategic and operational initiatives.
  • High level of professionalism, discretion, and judgment, with the ability to anticipate needs, think independently, and stay two to three steps ahead.
  • Thorough knowledge of administrative practices and procedures; knowledge of international protocol desirable
  • Proven ability to handle highest level of confidential information
  • Excellent communication and interpersonal skills for effectively interacting with individuals at all levels of the organization
  • Strong computer skills with proficiency in Microsoft software including but not limited to Office 365, Word, Excel, PowerPoint and Outlook
  • Desire to be an active member of a fast-paced, high performing team; flexible and adaptable style with a positive outlook required
