The Project Assistant will work within the Fleet & Facilities Division of Public Works. The Project Assistant will be responsible for scoping, contracting, and overseeing implementation of a variety of smaller facility repair or improvement projects. Examples include: HVAC repair/replacement, parking lot lighting improvements, roof repairs, security and fire alarm modifications, facility painting, electrical improvements, and ADA compliance. The Project Assistant may assist a Project Manager with design and construction oversight of larger more complex facility projects.

The anticipated work schedule is flexible, totaling approximately 20 hours per week on average, not to exceed 980 hours within one fiscal year (July 1 - June 30).


Key Responsibilities

Workday tasks will vary depending on the completion status of various projects but are likely to include:

  • Assisting with construction related activities and logistics
  • Review and critique of contracts, drawings and specifications
  • Vendor and city staff contact and coordination
  • Pursuing resolution of facility-related issues
  • Document management, processing and recording invoices
  • Researching / collecting data, including building energy usage pre / post renovation
  • Preparing correspondence
  • Attending project meetings and taking notes of discussions
  • Performing related duties as assigned

Qualifications

The ideal candidate will:

  • Have experience working as a project engineer, project manager or project coordinator with some field experience
  • Have experience reviewing contracts and architectural drawings
  • Take direction from more than one source and juggle multiple priorities
  • Possess effective oral and written communication skill
  • Be proficient handling fluctuating volumes of work
  • Work collaboratively with team members and others to accomplish results
  • Exhibit a resourceful, eager to learn attitude

Experience & Education

The ideal candidate will:

  • Have completed substantial course work toward a degree in engineering, architecture or construction management. Equivalent work experience in lieu of a degree would be given consideration.
  • Have skill with Microsoft Office programs, including Word, Excel and Outlook, Adobe Acrobat, document management systems, scheduling software and project management systems.
