Overview:

Photography Coordinator

Location: Minneapolis, MN; San Francisco, CA; or Santa Monica, CA

HGA is seeking a highly organized and collaborative Photography Coordinator to support and enhance the firm's nationwide photography program. In this role, you will manage photography projects from planning through final delivery, ensuring high-quality visual content is captured, organized, and leveraged to strengthen HGA's brand, marketing efforts, and business development initiatives.

The Photography Coordinator serves as a central resource for visual production operations, coordinating schedules, budgets, vendors, stakeholders, and project deliverables across a diverse portfolio of assignments. Working closely with Brand & Communications teams, you will oversee digital asset workflows, maintain the firm's visual asset library, and help ensure a consistent, efficient approach to photography and visual storytelling across the organization.

Success in this position requires exceptional project coordination skills, strong attention to detail, excellent communication abilities, and a passion for creating organized systems that support impactful visual content.

In this role you will:

Photography Planning & Production

    Coordinate firmwide photoshoots, including schedules, budgets, vendors, stakeholders, and deliverables.
  • Manage annual photography planning, project intake, and prioritization efforts.
  • Maintain production schedules and ensure key milestones and deadlines are met.
  • Support select on-site photoshoots, coordinating logistics and photographer needs.

Digital Asset Management

  • Manage and maintain visual assets within Adobe Experience Manager (AEM).
  • Upload, tag, organize, and process photography, video, and related assets.
  • Ensure visual content is accurate, searchable, and accessible across the firm.
  • Support improvements to asset management standards and workflows.

Project Operations & Coordination

  • Coordinate firmwide headshot scheduling and vendor management.
  • Partner with video and other internal teams to align shared production needs.
  • Maintain project documentation and workflow tracking systems.
  • Assist in improving production processes, tools, and operational consistency.

Budget & Stakeholder Support

  • Support visual production budgets through expense tracking and invoice processing.
  • Coordinate travel and logistical arrangements for photography projects.
  • Communicate effectively with stakeholders, vendors, and project teams.
  • Contribute to successful project outcomes through proactive problem-solving and organization.

What you will need to have:

  • Bachelor's degree required; related field preferred but not required
  • Typically 2-4 years of experience in project coordination, creative operations, digital asset management, or a related field
  • Experience managing multiple projects, stakeholders, schedules, and deadlines simultaneously
  • Familiarity with digital asset management systems; Adobe Experience Manager (AEM) experience preferred
  • Strong organizational, communication, and relationship-building skills
  • Ability to travel approximately 20% of the time and support occasional extended or multi-day photoshoots

Salary Information:

The pay range listed aligns to the geography of the office for which this position is posted. Actual compensation will be based upon work experience, education, licensure requirements and/or skill level and will be finalized at the time of offer. Individuals in this role working more than 24 hours a week on a regular basis are eligible to participate in HGA's robust benefit programs which include an annual bonus and success sharing bonus program, 401(k) guaranteed contribution, paid parental leave, medical, dental and life insurance plans as well as PTO and short- and long-term disability programs. Salary Range: $29.38/hr - $34/hr (Mid-West) or $34.98/hr - $39.78/hr (West Coast) depending on qualifications and experience.
