Position Overview
| Primary Purpose of Position |
The primary purpose of this position is to serve as the Executive Assistant to the Vice Chancellor for Strategic Partnerships, functioning as a direct extension of the Vice Chancellor and a central coordinating force for the Division of Strategic Partnerships and Economic Development. This role ensures the seamless execution of executive, administrative, and operational functions within a fast paced and highly visible office, providing comprehensive support that enables the Vice Chancellor to effectively lead the division. The position is responsible for managing a complex and dynamic calendar, coordinating high level meetings and special events, arranging travel logistics, preparing agendas and materials, and drafting correspondence with a high degree of independence and discretion.
In addition, the position serves as the principal administrator and office manager, overseeing daily operations, maintaining reports, collecting and organizing data, recording meeting minutes, and ensuring alignment across divisional activities. The role functions as a key liaison and gatekeeper for the Vice Chancellor, managing communications and relationships with a broad range of internal and external stakeholders, including university affiliates, elected officials, community partners, sponsors, donors, and vendors. The position is also responsible for triaging inquiries, screening calls and visitors, and ensuring that issues are addressed efficiently and directed to the appropriate personnel.
A critical component of the role includes providing budget and financial management support for the division. This includes planning and monitoring budgets, reconciling expenditures, processing purchases, and managing multiple funding sources in coordination with various campus units. The position also supports division staff in advancing strategic and operational priorities, ensuring that projects and initiatives are executed effectively and in alignment with divisional goals.
The role further includes responsibility for records management in compliance with State of North Carolina requirements and university policies, ensuring accuracy, organization, and confidentiality of sensitive information. Given the nature of the position, the Executive Assistant must demonstrate exceptional judgment, dependability, and attention to detail, while maintaining flexibility to respond to shifting priorities, urgent requests, and the evolving needs of the Vice Chancellor and the division. This position is essential to maintaining operational continuity, strengthening organizational effectiveness, and supporting the division's contributions to the university's broader strategic objectives. |
| Primary Function of Organizational Unit |
The Office of Strategic Partnerships serves as an advocate between North Carolina A&T State University and the communities in which it resides on a wide variety of local, regional, state, and federal issues. This newly developed office will lead in cultivating, stewarding and sustaining creative and reciprocal partnerships with private and public corporations. The office also supports economic development efforts of the state of North Carolina and the Piedmont Triad region by actively recruiting companies and promoting university-industry partnerships. The Office of Strategic Partnerships proactively engages with corporations and other potential external partners to understand their needs and match these to North Carolina Agricultural and Technical State University's assets by means of systematic outreach and internal scouting to identify and realize partnership opportunities originating with faculty, and to demonstrate value to N.C. A&T interests. The position is critical to the fulfillment of N.C. A&T's mission as we execute our initiatives and strategic plan focused on advancing the human condition, elevating public service, community engagement and entrepreneurship, and expanding the reach of the university to meet global needs. |
| Minimum Requirements |
High School diploma or equivalency and four years of progressively responsible administrative/office management experience; or graduation with an associate's degree in Secretarial Science, Business Administration, or a related discipline and two years of progressively responsible administrative/office management experience; or bachelor's degree, preferably in Business Administration or a related discipline; or equivalent combination of training and experience. All degrees must be received from appropriately accredited institutions. |
