Position Summary

The University of New Mexico Student Health and Counseling (SHAC) is seeking applicants for an Administrative Assistant to the Executive Director to work directly for the Executive Director, while also supporting the other directors of the unit.

Student Health and Counseling (SHAC) is a comprehensive health service available to all currently enrolled UNM students. SHAC is located North of Johnson Center and across from the Student Union Building. It is open Monday through Friday and is closed on all UNM holidays. Services include medical appointments (scheduled and same day), pharmacy, women's and men's health, allergy and immunization, medical specialty clinics, physical therapy, lab and x-ray, travel health clinic and counseling services, as well as health education, prevention, and promotion.

  • Strong interpersonal and communication skills and the ability to work effectively with a diverse range of professionals.
  • MS Office programs experience including Word, Excel, and PowerPoint.
  • Experience in record-keeping and/or specified information gathering projects.
  • Knowledge of accreditation process in healthcare.
  • Database management experience.
  • Knowledge of office management principles and procedures.
  • Ability to create, compose, and edit written materials.
  • Solid organizational and coordination skills.

Duties and Responsibilities:
Under limited supervision, provides operational coordination, administrative support, and project management to the Executive Director or Chair of an academic branch or of a multi-faceted, self-contained operating division administered under autonomous circumstances. Manages the day-to-day administrative and secretarial support activities of the office and supervises support staff and/or students, as appropriate; may independently administer a defined program initiative or service operation for the unit.

  • Provides secretarial and administrative support for the Executive Director.
  • Research information, compiles statistics and gather / computes various data, prepares special and/or one-time reports, summarizes or replies to inquiries, selecting relevant data from a variety of sources.
  • Scheduling meetings of the various committees at SHAC and taking notes/minutes for these meetings.
  • Work with our Operations Manager on provider credentialing and privileging. Will run applicable reports, gather and file documentation and organize required documents for review.
  • Work with the Executive Director and Department Directors on accreditation requirements. Will monitor calendar/timeline requirements to ensure timely completion. Will be a focal point for gathering updated policies and procedures, along with ensuring accurate formatting of all documents.
  • Assist in the planning and execution of select special events within SHAC.
  • Manage the various SHAC conference rooms scheduling for meetings and other activities.
  • Compiling the internal and external incident/adverse event reports for tracking and presentation at leadership committee meetings.
  • Other administrative duties as assigned by SHAC executive leadership.

Conditions of Employment

Minimum Qualifications

High school diploma or GED; at least 5 years of experience directly related to the duties and responsibilities specified.

Completed degree(s) from an accredited institution that are above the minimum education requirement may be substituted for experience on a year for year basis.
