Description

This position provides administrative support to the residency program at SIU Alton Family Medicine Residency Program. Utilizing the master yearly schedule, this position collaborates with BJC, SIU, and community teaching physician offices to coordinate all the rotational experiences for family medicine residents. In addition to the Office of Graduate Medical Education, this position communicates with other departments and organizations to organize rotations for family medicine residents, so attention to detail and accuracy are very important. In addition, this position works with the Chief Resident and Program Director in the preparation of clinic and call schedule. This position also keeps track of required hours for each rotational experience and
brings issues or problems to the attention of the Program Director.

Examples of Duties

100% Residency Administration
1. Assists the Program Director with preparation of the master rotation schedule for all residents
2. Utilizing the master schedule, initiates, coordinates and prepares resident rotation schedule for the
family medicine residents.
3. Coordinates rotation materials/packets for each resident two weeks prior to rotation so resident is aware
of location, time and contact person.
4. Initiates contacts with other departments and community physician for potential teaching sites and keeps
such lists updated.
5. Serves as liaison between the residents and residency program administration for handling rotation
issues and recommending potential solutions and subsequent implementation and notification of same.
6. On behalf of the Director, initiates and composes correspondence relating to rotational concerns.
7. Distributes rotation schedules to residents and preceptors.
8. Works with residents to determine electives, contact teaching physician and coordinate experience.
9. Assists program leadership and Chief Resident in approving resident vacation, education and
sick leave following the guidelines in the Policy and Procedure Manual.
10. Assists the Program Coorindator to enter data into New Innovations Residency database including the
block schedule, monthly rotation schedules, conference attendance and leave of absences.
11. Oversees the development and implementation of the Monthly Didactic Conference Schedule and
evaluations.
12. Works with faculty to implement and evaluate curriculum objectives and goals.
13. Makes recommendations to the Program Director on ways to maximize education experiences.
14. Maintains learner calendar for medical students, physician assistant students and other learners.
15. Provides support and assistance to the Program Coordinator in resident orientation activities and
schedules


Qualifications

Credentials to be Verified by Placement Officer

  1. High school diploma or equivalent.
  2. Any one or combination totaling four (4) years (48 months), from the categories below:
    1. College coursework in medical education, education, communications, public relations, or a closely related field as measured by the following conversion table or its proportional equivalent:
      • 30 semester hours equals one (1) year (12 months)
      • Associate's Degree (60 semester hours) equals eighteen months (18 months)
      • 90 semester hours equals two (2) years (24 months)
      • Bachelor's Degree (120 semester hours) equals three (3) years (36 months)
    2. Progressively more responsible clerical or secretarial experience, including a background in electronic word processing and database management systems.

Please Note: Completion of the Training Administrators of Graduate Medical Education Programs Certification (TAGME) from the National Board for Certification of Training Administrators qualifies applicants for each level of this series.

Knowledge, Skills & Abilities (KSA's)

  1. Knowledge of a variety of accreditation standards for medical education programs.
  2. Knowledge of basic accounting.
  3. Skill in organization.
  4. Ability to deal effectively with a variety of people.

Condition of Employment

Pursuant to the State Universities Civil Service System, an out-of-state resident who is hired into this position must establish Illinois residency within 180 calendar days of their start date.
