Job Title: Corporate Communications Writer - Microsoft 365 Change & Adoption (Contract)

Location: Spring, TX (Hybrid: Onsite Tuesday, Wednesday, and Thursday)

Position Type: Contract

Role Purpose

We are seeking a seasoned Communications Writer to support the enterprise-wide rollout and adoption of Microsoft 365 (M365). In this role, you will create clear, people-focused communications that help a global corporate workforce understand, adopt, and embrace new digital ways of working.

Positioned within our Human Resources / Organizational Effectiveness integrated change team (rather than IT), this role focuses heavily on the human side of change. You will work closely with Change Management, Training, external consulting partners, and business stakeholders across the organization.

Key Responsibilities

  • Plan & Draft M365 Communications: Create engaging, global enterprise content, including:

    • Executive and leadership communications regarding M365 and Microsoft Viva adoption.

    • A structured "Business Enablement Toolkit" email series tailored for individual business units.
    • SharePoint/intranet news posts, enterprise announcements, and detailed FAQs.
    • Customizable talking points, messaging cascades, and templates for local business unit distribution.

  • Corporate & Human-Centric Tone: Write in a polished, corporate-aligned voice that translates complex technical rollouts into clear, plain language. Focus on "what's changing" and "what's in it for me" while maintaining strict adherence to internal brand, HR, and Public & Government Affairs standards.
  • Localize & Tailor Messaging: Adapt core M365 messaging so it resonates authentically within specific business functions, providing targeted support to groups without dedicated communications resources.
  • Execute & Deliver Drafts: Partner directly with the M365 Communications Lead to turn high-level guidance into polished, "ready to send" content requiring minimal rework, while managing stakeholder feedback across tight deadlines.
  • Integrate with Change & Training Workstreams: Coordinate with the broader change team to align messaging with M365 training campaigns, Viva engagement strategies, SharePoint updates, and external consulting change leads.
  • Streamline Governance & Approvals: Proactively recommend review routes and options to simplify governance processes, helping eliminate approval bottlenecks while adhering to enterprise controls.

Required Skills & Experience

  • Experience: 5+ years of proven experience in corporate communications, internal communications, or change communications within large, complex global enterprises.
  • Writing Portfolio: Strong writing samples demonstrating executive/leadership communications around technology or organizational change, email campaigns, and intranet/SharePoint copy.
  • Execution & Adaptability: Ability to translate high-level, sometimes partial information into structured, accurate copy quickly and independently.
  • Multitasking: Proven track record managing multiple workstreams and shifting deadlines simultaneously.
  • Technical Proficiency: Hands-on experience with Microsoft 365 tools, including:

    • Outlook: Managing targeted messaging and distribution lists.

    • Teams: Real-time collaboration with cross-functional project teams.
    • SharePoint: Structuring, formatting, and publishing intranet content.
    • Word & PowerPoint: Drafting, layout, and document presentation.

Preferred Qualifications

  • Prior experience supporting enterprise M365, SaaS, or collaboration tool adoption/change programs.
  • Background working within highly regulated, global corporate environments.
  • Experience collaborating directly with HR, Change Management, or Public & Government Affairs departments.
  • Previous experience working alongside tier-one management or change consulting partners (e.g., EY).
