Work Schedule

The standard work schedule will be Monday - Friday 8:00am - 5:00pm during the Academic Year.

7:00am - 6:00pm during the Summer Months

This position offers remote work allowing employees a combination of onsite and work from home options. The expected remote work schedule for this position will be based upon the needs of the department.

This is a short term assignment with a projected end date of 06-30-2025 with renewal based on available funds and the needs of MCCCD.

Job Summary

The position involves providing technical and specialized administrative support within a designated service area of the Employee Services division. On a regular basis, the role includes responding to inquiries, resolving issues related to systems or services, and maintaining accurate records and documentation. Tasks also encompass editing reports, organizing data, scheduling appointments, and managing digital files. The HR Specialist conducts research, compiles data, and communicates effectively with internal and external stakeholders regarding policies, procedures, and program information. Additionally, they coordinate office supply inventory and equipment maintenance to ensure smooth operations. This position will work with departments in the Employee Services division, which includes Human Resources, Faculty Services and the Employee Engagement and Resource Center.

Essential Functions

50% - Provides customer support of assigned systems or service area and provides technical assistance and specialized administrative office support activities related to area of assignment. Receives and responds to inquiries and information requests, resolving issues or referring requests to appropriate resource. Oversees the maintenance of files, records, database information and documentation related to assigned area and according to established procedures

20% - Assists with editing of reports and cleanup of data requests and schedules appointments for new hire paperwork completion. Data entry in enterprise systems as needed.

20% - Researches, gathers, compiles and reviews data and information in support of assigned function, program, project or support area. Designs and formats complex documents; composes original documents, correspondence and presentations. Communicates with internal and external resources regarding policy/procedural, event or program information

10% - Coordinates the inventory and replenishing of office supplies and office equipment maintenance services. Performs other duties as assigned

Minimum Qualifications

Associate's Degree from a regionally accredited institution and one (1) year of human resources support experience related to area of assignment.

OR

High School Diploma/GED and three (3) years of human resources support experience related to area of assignment.

Desired Qualifications

A. Two (2) years of Human Resource support experience: Demonstrated ability to handle HR-related tasks such as new hire paperwork, data entry, and maintaining employee records within established procedures.

B. Two (2) years utilizing Google Drive Applications and/or Microsoft Office Applications: Proficiency in using these tools for document management, data entry, report editing, and correspondence creation.

C. Two (2) years' experience working in a team-oriented environment: Proven track record of collaborating effectively with colleagues to achieve shared goals and support operational functions.

D. Two (2) years of demonstrated customer service: Experience in providing excellent customer support, handling inquiries, resolving issues, and maintaining professional interactions with internal and external stakeholders.

Special Working Conditions

May require prolonged periods of viewing a computer screen. May be required to lift or carry up to 25 lbs..
