Finance Coordinator

The Finance Coordinator is essential to our finance team, overseeing accounts payable, payroll, and accounts receivable. This role ensures accuracy in financial transactions, compliance with payroll and tax regulations, and fosters strong relationships with vendors, team members, and customers to support the organization's financial health.

Knowledge, Skills and Abilities:
  • Must have proficiency in Accounting and Payroll software
  • Must have previous knowledge of payroll processing and payroll tax compliance, including the implementation of payroll best practices
  • Excellent verbal and written communication skills for effective interaction with vendors, employees, and customers
  • Strong organizational skills to ensure accuracy in financial transactions and compliance with policies
  • Ability to identify issues, develop solutions, and improve financial processes
  • Proficient in Google Suite, Microsoft Office, Outlook, and Teams
  • Experience in client services, enhancing customer satisfaction, and resolving billing issues
  • Ensure adherence to financial policies and compliance requirements
  • Self-driven approach with a focus on process improvement and achieving results
  • Must have proficiency in the English language
Essential Job Functions:
  • Accounts Payable: Accurately record vendor payments in accounting software; Manage invoice approvals and processing workflows; maintain strong vendor relationships and resolve payment issues; Conduct weekly payment runs and update records; Process employee expense reimbursements in compliance with policies; Onboard new vendors and complete necessary documentation; Assist with the annual audit by ensuring accurate financial records
  • Accounts Receivable: Manage and accurately record all incoming payments; Follow up on outstanding invoices for timely collections; Ensure correct revenue recording in accounting software; Handle manual invoicing as needed; Manage customer interactions regarding refunds and chargebacks; Apply discounts and process various payment methods accurately; Oversee customer invoice collections and follow up on balances; Manage customer invoicing inquiries.
  • Payroll: Ensure accurate weekly payroll processing for all team members; Administer finance-related functions in ADP HRIS; Serve as point-person for payroll processing; Reconcile employee benefit invoices with HRIS records; Maintain compliance with various reporting and claims processes; Ensure payroll tax compliance and timely filings; process weekly 401k funding with 3rd party vendor
Qualifications:

Education: A Bachelor's degree in Finance, Accounting, Business Administration, or a related field required
Experience: 3-5 years of experience in finance or accounting, with a strong focus on accounts payable, payroll, and accounts receivable

Determining compensation for this role (and others) at Vaco by Highspring depends upon a wide array of factors including but not limited to:

  • the individual's skill sets, experience and training;
  • licensure and certification requirements;
  • office location and other geographic considerations;

With that said, as required by local law, Vaco by Highspring believes that the following salary range referenced above reasonably estimates the base compensation for an individual hired into this position in geographies that require salary range disclosure. The individual may also be eligible for discretionary bonuses.
